WordPress uses a concept of Roles, designed to give the blog owner the ability to control and assign what users can and cannot do in the blog. A blog owner can manage and allow access to such functions as writing and editing posts, creating pages, defining links, creating categories, moderating comments, managing plugins, and managing other users.

There are five main user roles within WordPress:
Administrator, Editor, Author, Contributor and Subscriber.

When users are created in the realsmartcloud, default roles are automatically assigned:

realsmart admin → WordPress Administrator

realsmart mentor → WordPress Contributor

realsmart learner → WordPress Subscriber

These roles can be changed in the WordPress Admin area by administrators. Users are created automatically when they log in for the first time.

WordPress Administrator

Complete access to WordPress Admin

Add / edit / approve / reject and delete posts and pages, regardless of who created them

Activate / deactivate plugins

Manage main site settings (discussions, media paths etc) Note: Administrator access should only be assigned to trusted individuals!

Can modify own profile

WordPress Editor

Complete access to WordPress content (posts, pages etc)

Add / edit / approve / reject and delete posts and pages, regardless of who created them

Comment administration

WordPress Author

Can write / edit / publish posts they created

WordPress Contributor

Create posts but cannot publish them – posts need to be approved by an Editor or Administrator

WordPress Subscriber

It’s really easy to now schedule a start

It’s really easy to now schedule a start and end time for any posts on your WordPress site.

We think this is really useful for the staff and student noticeboards. Scheduling automates the process of setting up temporary posts such as notices of Assemblies and Canteen closures etc.

Scheduling posts

To schedule a publishing date and time simply select the “edit” button next to “Publish Immediately” in the publishing window. Then just set the date and time when you would like the post to be made and click OK.

To schedule an expiry date and time for your post just enable the “post expirator” in the plugins menu. Now when editing your post just select your expiry time in the new “Post Expirator” window.

Occasionally spam robots will target your site with comments offering you search engine optimisation, free stuff etc. Whilst most of this is harmless unless you follow the links it can become a bit tedious.

Akismet is a free to use spam filter for your WordPress blog, here is a quick start up guide.

Go to https://akismet.com/signup/ from here, you can select which option you want to choose, this is entirely up to you but we suggest ‘Personal’.

You’ll come to a page where you can enter your details. If you want to use Akismet for free, move the slider to $0 and the payment fields will disappear. Now just enter your name, email and click continue.

You’ll receive confirmation on the next page and an email with an Akismet code will be sent to you instantly.

To complete the Akismet set up just click into Plugins > Akismet Configuration, enter the code you received through email and click Update Options.

Adding featured images

1. Find an image to use for the post of your choice. This image should be 82×82 pixels in size and will be used in place of the author image next to your post.

2. Edit your selected post and select Set featured image underneath categories.

3. Find the image you wish to use and click Use as featured image next to the usual Insert into Post.

4. Save your changes, check the featured image section and update your post.

The only thing you cant do with Google

The only thing you cant do with Google Apps that you can do with Office is mail merge, right?

WRONG!

Here is how….

Create a spreadsheet and organize your data in columns that include one row per individual that you want to create a personalized document for. Make sure each column has a header. Individualized data might also be fed by a Google form.

Go to Tools->Script Editor and delete the existing code, pasting in the script from the attachment below.

Save the script with a name. I like to call it the “autoCrat”;)

Use the small dropdown in the scripts editor to Run the “onOpen” function. This will prompt you to authorize the script.

In order for the script to work, you will need to create a Document to use as a template for the merge.

Create a new collection for your templates. I like to create a collection called “Merge Templates”

Include double bracketed tags for any personalized data you want to populate from the spreadsheet. Ex) <<First Name>> . It doesn’t matter what you call the fields, because you will map them to your spreadsheet headers in a few steps.

Refresh your spreadsheet in your browser. Wait a few seconds and you should see a new menu item to the right of “Help”, called “Document Merge.” If you don’t see it, try running the onOpen function from the script editor again.

In the “Document Merge” menu, select “Settings” and complete the settings. If you don’t have a collection that contains a template file with <<Merge tags>> in it, go back to step 5 and come back to this.

Now you will see a new “Document Merge” dropdown item, “Set Field Mappings.” Map each <<Merge tag>> to the spreadsheet column you want to use to populate it. Save the mappings.

Another new “Document Merge” dropdown item will appear: “Test/Run Merge”. Select it and decide what type of merge you want to try…there are a number of combos and cool possibilities. Look to the bottom of the panel for a clue as to the $variableNames that are available for any of the fields you want to populate dynamically per row.

Here are some basic options to play with. Checkbox allows you to test on first-row only if you like.

ONLY saving merged Docs to a collection, either as PDF or Doc format.

Saving to a collection AND emailing PDF as attachment.

Saving to a collection AND emailing recipient a link to individually shared Docs as View-only

Saving to a collection AND emailing recipient a link to individually shared Doc as Editor

Note that as of Version 1.1.0, Date formatting can now be handled. You must use the Format->Number menu from the spreadsheet to format any dates. Currently only three formats are supported: “M/d/yyyy”, “MMMM d, yyyy”, and “M/d/yyyy H:mm:ss” … i.e. 1/30/2012…January 30, 2012, and 1/30/2012 9:32:34.

Note: As of Vertion 1.2.0, the document Header and Footer can now contain merge tags.

1.2.1 fixes a silly bug that occurred when the document didn’t contain a header or a footer.

We also recently discovered that non-alpha merge tags don’t work. Eg <<90>> will not work. Needs to be <<ninety>>. So avoid using anything in your merge tags that’s not a letter.

Thanks to the folks at http://www.youpd.org/home for this great script.

Sometimes you’ll want to create menu items that

Sometimes you’ll want to create menu items that open in a new tab as you would with sidebar links. While this is slightly more complex than doing it for a standard sidebar link, it is still easy enough to do.

Opening menu items in a new browser tab

In this example, we want to open our OFSTED report link in a new tab rather than being redirected away from the cloud site.

1. The first step is to go into your WordPress Dashboard and navigate to Appearance > Menus

2. From here, click Screen Options in the top right-hand corner of your dashboard to display a dropdown.

3. Make sure that the Link Target box is checked underneath ‘Show advanced menu properties’.

4. Now simply click the arrow next to your relevant menu item to reveal the link details. A new Link Target dropdown menu will have appeared which you can now use to define how you want that link to open.

That’s all you have to do. In future, once you have done this before, you can skip steps 1-3 and move straight on to step 4.
